Procore is seeking a Recruiting Department Coordinator to join our People team in Carpinteria, CA. This role will provide dedicated support to our Vice President of Talent Acquisition, Senior Recruiting Program Manager, and the rest of the Recruiting team while managing a wide range of administrative, executive, and company-level support related tasks to optimize the effectiveness and efficiency of our Recruiting department and Procore as a whole.

The candidate must be well organized, flexible, and enjoy the administrative challenges of managing both executive and departmental needs. Professional level written and verbal communication skills, strong decision making abilities, and attention to detail are desired. This position will involve direct interface with all levels of our organization in addition to high profile clients, partners, associates and service providers. Candidate should be resourceful, proactive, and efficient while maintaining an approachable and professional presence to both internal and external contacts.

This position is based in our headquarters in Carpinteria, CA. We’re looking for someone to join our team immediately. 

Primary Duties and Responsibilities:

  • Provide executive support to our VP of Talent Acquisition and Senior Recruiting Program Manager:
  • Coordinate and maintain calendars while effectively managing all scheduled activities
  • Prepare and submit expense reports
  • Manage all travel reservations via Internal Travel Agent/Travel Portal
  • Research and gather materials for meetings and conferences
  • Provide administrative support for day-to-day Recruiting operations:
    • Manage all purchases made on department corporate card
    • Prepare conference rooms and set up GoToMeetings
    • Assist with onboarding new team members
    • Order business cards
  • Plan, execute, and organize Recruiting team meetings and offsite activities. 
  • Manage Employee Appreciation and Employee Wellness Programs for the Recruiting team
  • Act as record-keeper for Recruiting and executive level meetings – organize action items and prioritize tasks for team.
  • Create and prepare reports, presentations, and other materials in support of the Recruiting team. 
  • Utilize proficient time management skills to plan, organize, and coordinate the administrative aspects of the Recruiting team’s activities.
  • Assisting and coordinating with other managers and directors in the Recruiting department as needed.

 

Essential Qualifications:

  • 2 or more years experience in administrative support role at the executive level.
  • Calendar management skills, including the coordination of complex and multiple participant executive meetings.
  • Strong working knowledge of MS Office and Google applications (GMail, Calendar, Drive). 
  • Exposure to managing travel and reservations. 
  • Outstanding social and communication skills in a professional environment.

 

Education Requirements:

  • Although a bachelor’s degree is not specifically required, this position requires a business/office management background generally equivalent to a bachelor’s degree in a business or administrative related field.
