As an Administrative Assistant/Receptionist, you will be responsible for completing an array of administrative duties. We are looking for a highly organized individual, with the ability to multi-task and ensure total operational responsibility over the front office. This is an exciting opportunity to be the focal point of a growing company.

JOB DUTIES 

  • Greet and manage all incoming/outgoing visitors
  • Check in all guests and provide welcoming accommodations
  • Create photo badges for new employees and visitors
  • Manage appointment and conference room scheduling for entire campus
  • Provide administrative support for Operations team
  • Assist with employee and visitor parking passes and validation
  • Help manage and audit the corporate Uber account
  • Assist Operations team in tracking down invoices, categorizing expenses, attaching receipts within the company’s expense management tool, Concur
  • Maintain a clean and visually appealing office space
  • Organization and ordering of supplies and office equipment
  • Arranging courier services and tracking package pickup/drop-offs 
  • Perform day-to-day operations, such as filing, scanning, mail distribution, conference room set up, and additional office work
  • Maintain emergency procedure binders
  • Liaison between our dry cleaning/laundry service and employees
  • Comfortable using FedEx, UPS, other shipping services: domestic and international shipping, freight. Must have knowledge of commercial invoicing.
  • Assist with lunch setup/break down
  • Assist with SWAG distribution
  • Communicate all necessary information to onsite security

REQUIREMENTS 

  • 1-2+ years of experience in reception/administrative function
  • Must be highly organized, self-motivated, a team player, and have a positive attitude
  • Proficient in Microsoft Suite: Excel, Outlook, and Word
  • Strong communication skills (both written and oral)
  • Possess flexibility to a changing environment, while maintaining the ability to multi-task office duties
  • Able to work in a professional setting assisting with top level executives, government officials, etc.
