The Outset is a boutique creative studio and production company of 12-15 people, some of which are based in West Hollywood in LA and a remote team of amazing women scattered across the country and across the pond in Europe as well!  We work with a highly curated collection of startups and high growth companies in the health & wellness, lifestyle and beauty space.

We are looking for a Creative Assistant with 1-2 years experience in a production company or agency setting who can help coordinate and manage the logistics of running our studio space, as well as fostering and creating important relationships with clients and key stakeholders across our portfolio. The successful candidate will report directly to the CEO and will be working side by side with a team of creative entrepreneurial women. 

 

You will work closely with all members of the team -  must love collaboration, coordination and be able to both lead and cheerlead at all times.

 

Responsibilities: Administrative

  • Work with the CEO to bring to life the vision of an exciting, inviting studio space that welcomes the creative and production community into an environment that reflects the Outset Brand.
  • Be the right hand to the CEO in communications with high profile clients, celebrities, CEOs of companies, and have warmth and discretion at the forefront of every communication.
  • Schedule in person meetings, events, zooms and client gatherings with excellent communication skills and eye for detail, and intuition and sensitivity around delicate subject matter. 
  • Arrange gifts, deliveries, and run occasional errands needed to support shoots, and client relationships.
  • Assist in the organization of high profile events at our studio space for entrepreneurs, CEOs and the creative community - you will oversee catering bookings, manage RSVP lists, and co-ordinate the many moving pieces of successful events under the CEOs direction
     

Responsibilities: Project Management

  • Work alongside the CEO to manage communication and relationships with clients, schedule meetings, create project timelines, & assist on new business proposals. 
  • Act as a hub between internal creative team and project stakeholders: act as central point of contact for internal teams (keeper of the process), clients and third party partners.
  • Work to manage our freelance creative resources (designers, writers, art directors, etc.) securing availability + project allocation, finalizing administration details like time recording, contracts, setting expectations around timing and feedback delivery - all the time removing roadblocks as they occur.
  • Collaborate with the creative director to plan projects, help projects meet business objectives, deadlines and requirements.
  • Schedule project meetings throughout the duration of a project - from strategy alignment, briefing, design development and execution across channels, managing tasks and coordinating work across teams.


 

Responsibilities: Studio Space Oversight (occasionally) 

  • You will sometimes step in to help oversee the shoot studio space - and will be called upon to partner with the CEO and Finance Director to ensure every aspect of operating a beautiful space runs smoothly for clients and agency team members.
  • You will manage timing and logistics around our studio and office space, scheduling shoots, events and out of state visitors seamlessly using strong organizational tools.
  • Schedule and manage shoot projects from booking to completion: playing a key role collaborating with project managers and producers to ensure overall project progression.
  • Handle Peerspace bookings, manage calendar, and be on-site rep for all shoots at our studio.
  • Manage relationships with all stakeholders: act as the central point of contact for internal teams (keeper of the house/event process), clients and third party partners.
  • Ensure the studio space is kept in immaculate condition-  a love of details, ensuring flowers are arranged beautifully, props are tidied, snacks are stocked for the team, and any maintenance repairs are tended immediately. 
  • You will also help coordinate the main house and guest house calendars.  From time to time ensuring that visiting clients and agency members who come to stay have all they need.

 

Advantageous Previous Experience

  • Previous experience within an agency/production company or a start-up/creative culture.
  • A get-it-done, make-it-happen attitude (and have sharp-elbows when needed).
  • You have strong communication and organization skills and are flexible and adaptable to change.
