The Operations Coordinator will work to facilitate and execute a variety of projects which align with the overall company goals. The Operations Coordinator will work closely with the Operations team on facilities management, day to day operations, corporate events, space management, and policy and procedures. This position will require you to be organized and have the proper decision making skills to continue to advance projects and work on your own.

Responsibilities

  • Work cross functionally to gather information for current or new projects, and report on those findings. 
  • Field requests from all departments prioritize and source solutions.
  • Coordination and communication of day to day moving parts within the organization. 
  • Record meeting minutes and distribute meeting recaps to appropriate parties.
  • Assist with the planning and execution of company events both internal and external.
  • Work with vendors to negotiate best pricing and product for the need at hand.
  • Maintain daily documents including global lease management, permits, lien waivers, invoices, purchase orders, change orders, and project timelines).
  • Track day to day facilities and construction paperwork.
  • Coordination of vendors both on-site and through projects. 
  • Ensure that new vendors have gone through the appropriate onboarding and new vendor files are complete prior to work commencing. 
  • Act as the communication link between teams within the organization. 
  • Coordinate and manage project tasks to ensure project delivery within allotted budget and timelines.
  • Ability to lead projects which require coordination of multiple teams.

Required Minimum Experience

  • High school diploma
  • Minimum 2 – 4 years’ experience in Operations, Project Management, Events or another similar field
  • 2 years of experience working in travel coordinating or planning
  • Proficient in Microsoft Office 

Preferred Experience

  • Bachelors degree
  • Complete understanding of Concur
  • Familiarity with SharePoint 
  • Experience handling multiple projects at a time under tight deadlines 
  • Event Coordination and Planning
