The Operations Coordinator at Hyperloop One will report directly to the Operations Manager, and will have the opportunity to create and implement daily procedures in a fast paced environment. We are seeking a highly motivated individual who will perform a variety of duties that require considerable confidentiality, initiative, flexibility, tact and independent judgment.

Responsibilities

Liaison between all teams to gather information for near and long term planning including budgets, facility planning, events and business efficienciesUtilize strong problem solving skills to increase day-to-day operating efficiencies within our department and all support functions
Liaison between the Operations Manager, Facilities Construction Manager/PMO, vendors, and internal staff to ensure project fulfillment is reached in a timely and efficient manor
Coordination and clear communication of many day-to-day moving parts within the organization
Assist with day-to-day cert and other minor insurance requests, ability to quickly learn new software programs /web based portals to further support an automated insurance program
Assist with Claims Reporting as necessary
Assist with ongoing Risk Management implementation and adherence to safety standards
Act as a secondary/backup POC with vendors and clients
Detail meeting minutes, assist with creating meeting agendas, scheduling/coordinating daily initiatives and logistics to help push major projects forward
Daily documents management, collection, tracking and updates, including global lease management, permits tracking, capturing and retaining data regarding noncompliance issues, lien waivers/notices and increasing departmental visibility
Track day-to-day facilities/construction paperwork as necessary through completed project closeout 
Triage day-to-day Agiloft Operation’s tickets
Oversee, track and update the SharePoint All Hands Tasks and Ops Projects pages
Help create a preferred vendor list 
Help implement/practice daily procedures to meet goals and objectives

Required Minimum Experience

2-4 years relevant industry experienceKnowledge of corporate compliance
Experience with software management programs, SharePoint, Real Estate, Construction and Contracts
Logistics Management
Project planning
Experience with leases, property management and vendor insurance
 
Preferred Experience

High school diploma required, bachelors degree preferred
2-4 years experience in operations or as an administrative assistant to upper level executives
Extremely organized, accurate and detail-orientated
Must be able to do work efficiently with limited supervision
Master of Microsoft Word, Excel, Power Point and Outlook
Quick-solution based problem solver
Time management skills
