The Human Resources Coordinator assists with a variety of HR related services and activities. This position plays an active and key role in ensuring that the Administration and Human Resources Department is supported and functions smoothly, while supporting departmental leadership and all company employees.

Duties and Responsibilities

  • Maintains the strictest confidence by keeping all human resources information confidential
  • Organizes and schedules new employee orientation
  • Orders, manages and keeps inventory of all employee swag
  • Manages all employee, department, and location based email distribution lists
  • Coordinates the request and distribution of employee equipment across all office locations in collaboration with the IT department
  • Ensures that employee bios, headshots, and LinkedIn profiles are added to the company website in a timely fashion
  • Coordinates the recruitment of temporary help with agencies, as needed
  • Manages special HR related initiatives and activities
  • Manages and organizes all new employee onboarding and compliance documents; ensuring documents are scanned and uploaded into the QMS system
  • Maintains human resources records by managing, scanning and filing confidential documents
  • Assists in the writing of job descriptions open for recruitment as needed
  • Proofreads job descriptions and other communications as needed
  • Drafts human resources related communications in a diplomatic, appropriate and persuasive manner
  • Assists and serves as a back-up to the Human Resources Associate in recruitment related activities, such as the posting of job advertisements across a variety of online resources
  • Assisting in the establishment and maintenance of company and Human Resources infrastructure
  • Serving as the back-up for establishment and maintenance of recruitment platform and its associated software
  • Assists in the compiling of data and reports for summary and presentation
  • Sending out performance evaluation and development reports to department heads to ensure employee check-ins and evaluations are completed in a timely fashion
  • Manages special HR related initiatives and activities
  • Assists in the auditing of employee related access to various systems and platforms
  • Assist in promoting, organizing and managing HR events and other activities
  • Assist in Training team with development and delivery of training tools and presentations for onboarding new hires (e.g., QMS-Lite training)

Qualifications

  • Bachelor’s degree preferred or equivalent work experience
  • 2+ years of administrative work experience
  • Knowledge of human resource operations, a plus

  • Proactive problem-solving abilities and follow through
  • Strong organizational skills
  • Ability to manage changing priorities
  • Strong communication skills - Demonstrates strong written and verbal communication skills; showing diplomacy at all times
  • Computer skills - Working knowledge of MS Office suite and Google applications. Able to generate business correspondence, create forms and generate reports as required. Willingness to gain expertise in the use of propriety software
  • Practices professionalism and integrity in all actions – Demonstrated ability to foster concepts of teamwork, cooperation, self- control, and flexibility to get the work done. The ability to adapt to a rapidly changing work environment. Able to successfully work in a decentralized team environment. Skilled in situational responsive decision-making

Capabilities


  1. Up to 20% travel, as needed, for work related activities and meetings, as needed
  2. Ability to communicate in English (both verbal and written)
