Executive Assistant/Office Manager | Acorns

Acorns is seeking a highly skilled and motivated individual to perform the dual role of Office Assistant and Executive Assistant. This role will partner directly with our executives, providing proactive and strong operational support, and will perform a wide array of administrative functions requiring confidentiality, initiative, innate organizational skills, sound decision making and the gift of scheduling. This role is also a critical support person to the team and guests, so we’re looking for a friendly, meticulous and professional candidate.

Job Description:

  • Interact and communicate effectively with all levels of management, guests and clients
  • Schedule and manage complex calendars with keen precision
  • Arrange and coordinate domestic and international travel, accommodations and all trip logistics
  • Create, plan, and execute events for team meetings, off-site events, and trainings
  • Execute day-to-day administrative tasks including placing lunch and catering orders, ordering and tracking supplies, arranging deliveries, and managing mail.
  • Maintain executive contact lists and help manage external relationships as needed.
  • Accurate and timely processing and tracking of expense reports.
  • Responsible for personal errands as assigned (gifts, thank you cards, etc.)
  • Review and prepare meeting document and presentations.
  • Prioritize and execute special projects as needed

Job Requirements:

  • BA/BS degree required
  • 2 years experience providing support in an administrative capacity
  • Experience with Word, Excel, Keynote and Google applications.
  • Ability to manage complex calendar management without breaking a sweat
  • Outstanding proactive and multi-tasking abilities
  • Organized to a fault
  • Good judgment and poise under pressure
  • Passion for learning and sharing best practices
  • Willingness to perform any responsibilities assigned
  • Track record and reputation of demonstrating high degree of discretion and confidentiality
