Administrative Services Coordinator
- Work as part of a flexible team, provide high quality supervision and management to the EA/AA team in a demanding, fast-paced professional services environment. The primary goals are to provide daily supervision to the EA/AA team, manage daily team logistics, support the Business Services Manager with initiatives and training plans for the broader team, and successfully serve BCG DV's clients.
- Efficient management of the resources devoted to the support of BCG DV Partners, Principals and Directors
- Continuous improvement in the quality of administrative support services through training, workflow, proper support systems and processes
- Lead/participate in special projects as needed for the Business Services Manager
- Daily coordination and supervision of staff:
- Ensure appropriate coverage of Partner, Principal and Director support needs; manage schedule to cover for planned (vacation) and unplanned (illness, etc.) staff absences
- Seek to continuously improve quality, morale, knowledge and teamwork through strong communication and daily involvement in coaching and development
- Daily problem solving and prioritization of competing demands
- Attend Venture Operations Team meetings and help coordinate and maintain collaborative working environment with other departments
- Convene regular team meetings to update the group on relevant issues from the Venture Operations Leadership Team meetings and other items of interest
- Keep abreast of time management and communication skills training/conferences/technology; make recommendations for staff members to attend training
- Administer human resources policies as they relate to the EA/AA team members:
- Administer and ensure consistency, fairness and equity in the performance review process
- Manage compensation processes, reporting and communication for team
- Develop and implement EA/AA staff training and development programs
- Recruit, orient, train and support retention of staff
- Provide performance improvement feedback and planning when appropriate; support termination of staff if necessary
- Long term management of support services:
- Provide input to Business Services Manager in developing administrative staff procedures, programs and initiatives geared toward improving the overall effectiveness of the support services
- Take an active leadership role in overall Venture Operations management
- Create and encourage a stimulating work environment
- encourage participation in professional development activities
- foster teamwork within work groups, across functions and throughout the office
- manage Venture Operations cohort affiliation budget/activities
- raise awareness of the role of the Venture Operations in the success of BCG DV
- Bachelor's degree with 7+ years of experience, ideally in a professional services firm
- At least 2 years of experience managing a team and overseeing the hiring process
- 3-5 years of EA experience or intimate knowledge of the EA/AA role
- Computer proficiency in Windows, Word, Excel, PowerPoint and Outlook
- Infrequent travel may be required
- Occasional evening and weekend work may be required
- Strong service orientation and sensitivity in responding to customer needs
- Demonstrated strong interpersonal, communication and facilitation skills
- High degree of flexibility in a fast-paced environment
- Ability to handle difficult situations with poise, understanding and tact
- Ability to handle competing priorities, keeping constant sight of the overall objectives
