Administration Assistant/Receptionist
- Point person for answering the telephone console, screen and route incoming calls to the appropriate employee in a polite and professional manner
- Greet and log employees, visitors, and vendors
- Manage conference room calendars
- Mail time & expense reports to accounting and finance departments on a weekly basis
- Coordinate packages for FedEx or courier distribution
- Update and maintain office intranet content
- Update and maintain office forms and lists
- Assist with the implementation of office norms for both local and visiting consultant teams
- Assist with the overall functioning of the office, possibly including:
- Coordinate in-house meetings and events
- Manage and order office supplies and equipment
- Along with the Office Services team , maintain overall office appearance
- Schedule office maintenance and repairs
- Sort and distribute the daily mail
- Special projects as assigned
- Calendaring/meeting/interview scheduling
- High volume of travel arrangements
- Time sheets and expense reports
- Preparation of packages for distribution (backup to Office Services team)
- Backup support when other team members are out of the office
- Bachelor’s Degree strongly preferred
- 2-3 years’ related experience
- Computer proficiency in Windows, Word, Excel, PowerPoint and Outlook
- Infrequent travel may be required
- Occasional evening and weekend work may be required
- Strong service orientation and sensitivity in responding to customer needs
- Demonstrated strong interpersonal, communication and facilitation skills
- High degree of flexibility in a fast-paced environment
- Ability to handle difficult situations with poise, understanding and tact
- Ability to handle competing priorities, keeping constant sight of the overall objectives
- Resourceful with strong problem-solving capabilities
- Strong organizational skills, project management skills and attention to detail
- Demonstrated effective and empathetic leadership and team management experience
- Willingness to perform a wide range of services from routine tasks to unique analyses

- Experience working successfully within a complex matrix structured organization is essential.
- It is necessary to have the ability to understand and manage complex reporting relationships and incorporate multiple labor laws and cultures.
