You Will Be

  • Helping with the implementation of a new automated expense management system
  • Overseeing/enforcing controls for multiple office locations
  • Reviewing vendor invoices for appropriate documentation and validity prior to payment
  • Setting up new vendors; receiving/reviewing purchase requisitions, check requests, and other related documentation for completeness and compliance with policies and procedures
  • Entering vendor invoices into the accounting system, ensuring accurate data and G/L account allocation
  • Following up on account statements and other discrepancies regarding payment of accounts
  • Preparing and cutting 200+ vendor checks on a monthly basis according to pay schedules
  • Setting up wire payments to vendors and applying wire payments in QuickBooks ensuring proper backup is attached to wire confirmation
  • Preparing monthly reports including credit card and accounts payable reconciliations
  • Ensuring that employee expense reports follow the Expense Reimbursement Policy along with back up
  • Interacting with internal departments to follow-up on vendor invoices and discrepancies
  • Maintaining vendor files and accounts payable documentation
  • Refining W-9 collection process for new vendors and oversee 1099 misc. year end process
  • Responding to all vendor inquires
  • Assisting in the month end process; bank reconciliation, accruals, prepaid expenses, and updating the closing checklist

You Must Have

  • Minimum of 3 years experience in a high volume Account Payable role
  • Bachelor's degree in finance/accounting or equivalent relevant experience
  • Excellent written and verbal communication skills
  • Strong knowledge of standard accounts payable policies, procedures, and regulations
  • Knowledge of general accounting principles
  • Ability to understand and interpret vendor invoices, statements, and other requests for payment
  • Excellent time management and organizational skills
  • Solid attention to detail while providing exceptional customer service
  • Ability to adapt to a dynamic work environment and work in cross-functional teams
  • Experience using QuickBooks is preferred
  • Proficiency with MS Office with expert knowledge in Excel (Pivot tables/V-lookup)
