Procore is seeking an Accounting and Finance Department Coordinator to join our team! This position is based in our headquarters in Carpinteria, CA on the bluffs overlooking the Pacific Ocean. We’re looking for someone to join our team immediately.

This role will provide dedicated support to our Corporate Controller and the rest of the Accounting and Finance team while managing a wide range of administrative, executive, and company-level support related tasks to optimize the effectiveness and efficiency of our department.

The candidate must be extremely organized, detail oriented, flexible, and enjoy the administrative challenges of managing both executive and departmental needs. Professional level written and verbal communication skills, strong decision making abilities, and attention to detail are desired. This position will involve direct interface with all levels of our organization in addition to high profile clients, partners, associates and service providers. Candidates should be resourceful, proactive, have a “can do” attitude and be efficient, while maintaining an approachable and professional presence to both internal and external contacts.

Primary Duties and Responsibilities:

  • Provide administrative support for day-to-day department operations and executive support to our Corporate Controller.
  • Assist with any and all tasks as assigned to provide support to the Accounting and Finance team.
  • Coordinate and maintain Accounting and Finance departmental calendars while effectively managing all scheduled activities.
  • Monitor, screen and assist in managing email, mail, and telephone communications for Accounting and Finance leadership using a high level of discretion and maintaining confidentiality of sensitive information.
  • Proactively bring together the appropriate people and other resources to support the critical department activities and mission.
  • Act as record-keeper for Accounting and Finance meetings – organize action items and prioritize tasks for the team.
  • Plan, execute, and organize department meetings and offsite activities. 
  • Create and prepare reports, presentations, and other materials in support of the Accounting and Finance team. 
  • Handle highly confidential and sensitive information.
  • Utilize proficient time management skills to plan, organize, and coordinate the administrative aspects of the team’s activities.
  • Proactive approach to department supply needs and resources.
  • Assisting and coordinating with other managers and directors in the the Accounting and Finance department, as needed. 

Essential Qualifications:

  • Three or more years’ experience in administrative support role at the executive level.
  • Calendar management skills, including the coordination of complex and multiple participant executive meetings.
  • Strong working knowledge of MS Excel and PPT presentation skills is a must, as well as Google applications (GMail, Calendar, Drive). 
  • Outstanding social and communication skills in a professional environment.
  • High level of discretion in handling confidential and sensitive information.

Education Requirements:

  • Although a bachelor’s degree is not specifically required, this position requires a business/office management background generally equivalent to a bachelor’s degree in a business or administrative related field.
