We are looking for a Licensing Administrator that has an eye for detail and thrives in a collaborative team environment. This position will work within the Hot Topic licensing department. The licensing department (and this position) supports all three Hot Topic brands (Hot Topic, BoxLunch, and Her Universe). In this position, you will manage the Licensing team’s contracts, follow each contract from deal memo to execution, and perform other administrative functions as needed.

Pay range starting at $19.00/hr.

Please note the pay range for this position starts as listed in the job posting, but other factors such as an individual’s education, location, meeting the minimum job requirements for the role, training, and experience, will determine the final salary for potential new hires.

WHAT YOU'LL DO

  • Manage the deal process for all contracts that the licensing team touches – updating the team at various stages of contract negotiation and execution, following up on deals, and processing contracts once they are executed.
  • Assisting various departments with contract-related questions and needs (e.g. pulling contracts when asked, informing employees of a contract’s current expiration date, etc.), and managing the contracts database for the licensing team.
  • Reviewing and revising Non-Disclosure Agreements (NDAs) and other basic contracts
  • Supporting the In-House Licensing team with all legal related inquiries and leading weekly meetings with the legal team on the status of agreements.
  • Performing other administrative duties as needed.

WHAT YOU'LL NEED

  • Ability to read, analyze, and interpret complex documents.
  • Experience managing a contracts database is a plus.
  • Excellent clerical and computer skills (Word, Excel & Outlook). Data entry is a large portion of this role.
  • Excellent communication skills, including ability to work in a team environment.
  • Excellent organizational skills and attention to detail.
  • Self-starter and excellent follow up skills.

An Insider's view of Hot Topic Inc.

How would you describe the company’s work-life balance?

As a company, Hot Topic is a very big advocate of mental health and is understanding that we all have things happening in our personal lives. My team in particular has a great work relationship with open communication. Great work-life balance can not be achieved alone, but instead needs both the company and employees to share the same values.

Joseph

Front End Developer

What does your typical day look like?

First, I focus on what my team needs & who will help us be successful. This means daily facilitation of meetings to obtain work assignments, updates on targets & anything blocking them from completing a task. We also do a daily review of our Jira project board along with a review of the project plan...always focused on team success!

Kisua

Senior eCom Project Manager

What makes someone successful on your team?

Dedication, attention to detail, ownership, and a drive to learn new technology are some key factors. As a leader, you have to provide proper guidance and a career path to keep your team motivated.

Rana

Sr. Director, IT Retail Support

How do you make yourself accessible to the rest of the team?

Since joining the team, a consistent theme I have worked to highlight is trust - we trust that our teammates are here for the right reasons & that they will deliver on what they are responsible for. I think the first step to being accessible as a leader is to be a visible leader. This means being present with all levels of associates & listening.

Nathan

SVP, eCommerce

What are some things you learned at the company?

The motto of always improving is a staple here! As long as you’re willing to learn and add value to what you do, Hot Topic sees it.
