Who are we hiring?

Sphere Studios is a dynamic and innovative creative studio that specializes in producing high-quality visual content, branding, and digital experiences for the Sphere in Vegas (with interior and exterior displays). Our collaborative team of designers, artists, and producers thrives in a fast-paced environment, constantly pushing the boundaries of creativity. We are seeking a Specialist Project Management to support and enhance our production team, helping to manage day-to-day tasks and ensure the smooth execution of creative projects from start to finish.

This role will provide high-level project management support to the Creative department of Sphere Studios, assist with the tracking of multiple creative projects, and take point on smaller-scale projects as needed. The ideal candidate will be highly organized, detail-oriented and proactive, with experience in supporting production teams in a creative environment.

This individual will navigate the day-to-day challenges which come with coordinating and managing the work of executives, creative leads, and artists within multiple projects at varying stages of development all of which happen simultaneously. The team is responsible for servicing the business and partnership sales teams and creative partners at Sphere with ideation sessions, concept design, pitch decks, partnership brand activations, sales demos, and design and content programming strategies. This position will collaborate with colleagues and stakeholders across adjacent teams to plan and execute projects of high importance to the organization, in the support of show creation, design, sales, production, and display/playback. This includes working with world renowned vendors, clients and talent and assisting other departments for all aspects of Sphere venues technology.

This position requires high energy, a positive attitude, a strong work ethic, impeccable judgment, unwavering attention to detail, and outstanding communication and interpersonal skills. The ideal candidate is highly thorough yet agile and able to shift priorities easily, while understanding the nuances of those priorities. Technical and design fluency is a must; comfortability with live event-based immersive technology is a bonus. This position requires a versatile experience base in design, project management, and technical infrastructure processes. Ideally, the right candidate has a background and/or knowledge of entertainment, brands and immersive.

What will you do? 

  • Project Support: Organize, track, and coordinate various stages of creative projects, ensuring timelines and budgets are adhered to.
  • Communication Hub: Act as a liaison between internal teams (designers, creative directors, clients) to ensure seamless communication and project progress.
  • Scheduling & Planning: Organize production schedules, meetings, and deadlines to ensure all milestones are met.
  • Resource Management: Support allocation and tracking of resources (personnel, equipment, materials) needed for each project.
  • Documentation: Maintain and organize project files, including briefs, asset lists, timelines, and meeting notes.
  • Studio Interaction: Support communication efforts with several studio departments and stakeholders, providing updates on project status, and addressing any questions or concerns.
  • Problem-Solving: Anticipate project needs and resolve any logistical or scheduling issues that may arise during production.
  • Quality Assurance: Assist in reviewing deliverables to ensure they meet studio standards and client expectations.
  • Post-Production Support: Coordinate with the post-production team to ensure all final assets are properly delivered and archived.

What do you need to succeed?

  • Bachelor's degree in a related field is strongly preferred, or else equivalent work experience.
  • 4+ years of experience as a production coordinator or similar role managing tasks, ideally within a creative studio, advertising agency, or production company.
  • Strong organizational skills with the ability to manage multiple projects and evolving deadlines simultaneously.
  • Excellent communication skills, both written and verbal, with a professional and friendly demeanor.
  • Attention to detail and ability to maintain a high level of accuracy.
  • Demonstrated knowledge of project management tools (e.g., Airtable, Trello, Asana, Monday.com, etc.).
  • Ability to work well under pressure and adapt to shifting priorities.
  • Solid understanding of creative workflows and production processes (design, video, digital, etc.).
  • Proficiency with Microsoft Office Suite and Google Workspace; familiarity with Adobe Creative Suite is strongly favored. 

Special Requirements

  • Some work during non-conventional hours will be required.
  • Some travel to our venue in Las Vegas may be required.

Pay Range
$65,000$95,000 USD
