As part of the operations team, the Workplace Coordinator creates an efficient and effective workplace experience that enables Hawkes to do their best work and also provides a warm welcome to all guests. This person will be the face of Hawke Media’s office and will be entrusted with creating and maintaining Hawke’s core values for all users of the space.

This role requires a delicate balance of managing the variety of responsibilities associated with daily office operations and proactively assessing ongoing and future workplace needs.

Responsibilities:

  • Acts as an owner of the office and maintains experience standards and aesthetic by budgeting, tracking, ordering, restocking, arranging and overseeing office maintenance or service, and conducting daily quality-assurance
  • Proactively identifies opportunities to reduce costs and increase efficiency in office operations processes
  • Manages relationships with facilities vendors
  • Runs local errands associated with general office operations
  • Supports execution of office-wide internal events, both small and large scale
  • Manages and greets all visitors and guests and provide support
  • Acts as administrator for IT + Platforms- set up, service, and coordinate repairs of all Hawke tech; coordinate with outsourced tech services, admin some internal platforms (envoy check-in, HawkeBot)
  • Manages general office administration, including answering phones, handling voicemails, sorting mail, shipping packages, organizing supply areas, managing printing/scanning, birthdays and anniversaries, ordering food, checking in visitors, etc.
  • Assists in special projects as needed
  • General administrative assistance to all departments
  • Continues to develop facility related initiatives to better the employee experience

Skills & Experience

  • Minimum of a bachelor’s degree or equivalent
  • Minimum 1 year professional experience (preferably in an office setting)
  • Strong experience with G Suite and Microsoft Office
  • Excellent communication skills (written and verbal)
  • Sound judgment and ability to maintain confidentiality
  • Excellent organizational skills
  • Passionate about cultivating workplace culture
  • Self-motivated and reliable
  • Preferred: Customer service experience
