Personal Assistant
The Opportunity
M13 is seeking a Personal Assistant who will be responsible for keeping our Executive Team organized, informed, and effective. This individual assists with all personal daily and longer-term activities to enable our dynamic leaders to maximize focus on their business, social, and cultural interests. The role will require a proactive approach, next-level interpersonal relationship skills, flexibility, attention to detail, reliability, and the utmost discretion and loyalty.
This position will rarely be the same from day-to-day; whether running personal errands, managing household staff and vendors, arranging vacation plans, house sitting, overseeing auto maintenance, or personal shopping, this is a unique opportunity for a thoughtful and ambitious individual who wants to be a key contributor to M13’s growth and overall success. This position will collaborate with and be supported by our Senior Executive Assistant and is a part of our overall M13 Administrative Team.
Who we're looking for
- At least 1 year of personal assistant experience, preferably supporting executives whose time was constantly in high demand.
- A world-class level of responsiveness, grit, and overall work ethic; our M13 Executive Team is dynamic and will require someone who can match their energy and professional expectations.
- Outstanding written and oral communication skills with a gift for distilling information into concise and effective verbal and written communications
- Reflexive, responsive and adaptable; capable of juggling competing deadlines with ease while remaining calm and attentive to detail and accuracy.
- A passion for all current trends, technologies, and social media.
- A high emotional quotient and ability to read people and situations to facilitate relationship building and strengthening on multiple fronts.
What you'll do
- Schedule personal appointments and handle personal calendar management.
- Planning and arranging personal travel for Executive Team and family members.
- Event planning for parties, dinners, philanthropic events; includes full-cycle planning such as selecting a venue, managing caterers and vendors, mailing invitations, managing responses, and more.
- Review various invoices for accuracy prior to submission for approval, budgeting, track spending, credit card management, and payment.
- Process tax documents for all entities and family members, including document signatures, payments, mailing of forms, and more.
- Oversee inventory and shipping of previous and current business-related products and collateral.
- Arrange and oversee maintenance and repair transactions for multiple residences.
- Manage gifting for various colleagues and family members, ensuring timely delivery.
- Assist with medical appointments, scheduling, billing and tracking for Executive Team and family members.
- Ensure proper operation of all home office and gym equipment; assist troubleshooting of personal computers, wireless, cell phones, and more.
- Responsible for home mail sorting, distribution, and filtering.
- Manage and maintain Executive Team personal contact databases.
- Greet and provide concierge services to Executive Team meeting guests and colleagues.
- Conduct Executive Team dry cleaning and laundry services.
