Tradesy is seeking an exceptionally talented Office Manager to facilitate the day-to-day operations of the office environment for an extremely fast-paced, high-growth organization. Responsibilities include ordering supplies, ordering lunch, building management and overall office organization. You’ll also manage light HR tasks such as new employee onboarding. 

Success in this role requires exceptional organizational / multitasking skills and strong communication skills. We are looking for an ambitious self-starter with an extremely positive attitude. This role comes with a high degree of autonomy, so you must be a great independent problem-solver. A basic understanding of the fashion landscape is a plus. You may not be a fashion expert, but you have a general sense for the domain, and can get up to speed very quickly. 

This role reports directly to the Senior People Operations Manager. 

 

You Will:

  • Manage weekly office supply ordering and inventory (including pantry / kitchen, janitorial and office supplies) 
  • Manage daily catered lunch program (order lunch for 100+ team daily) 
  • Maintain office cleanliness and oversee daily professional cleaning crew 
  • Conduct regular walk-throughs to ensure office is organized and supplies are stocked 
  • Manage repair work orders, supervise contractors/vendors, coordinate mandatory inspections and meet with building manager as needed. 
  • Coordinate office moves and improvement projects. 
  • Maintain building security (Access Cards, Keys, Cameras, Alarms) 
  • Manage employee parking, assigning / reassigning parking spaces to all employees during onboarding and offboarding. 
  • Manage Tradesy’s Alternative Transportation Program and serve as our Emissions Transportation Coordinator (ETC). 
  • Work closely with our Sr. People Operations Manager to monitor the Office Management budget (supplies, birthdays, events, repairs, etc.). 
  • Coordinate new hire onboarding; first day desk setup, paperwork 
  • Conduct New Employee Orientation. 
  • Coordinate and execute team events, all-hands meetings, parties and offsites 
  • Coordinate Tradesy’s Awkward Birthday program 
  • Coordinate the Tradesy’s Monthly Newsletter, The TradeMark 

You Have:

  • A passion for organization, strong prioritization skills and intuitive judgement to juggle multiple projects simultaneously 
  • Ability to manage multiple tasks and achieve deadlines under pressure 
  • Exceptional communication skills, written and verbal, including public speaking 
  • Full proficiency in all commonly used communication and scheduling tools (G-Suite experience preferred) 
  • Minimum 2 years experience with office management preferred 
  • Experience handling confidential documents and information. 
  • Must be able to lift at least 50 pounds
