Office Coordinator / Executive Assistant

FloQast, Inc seeks an Office Coordinator/Executive Assistance to support day-to-day functions of our office, support our employees, and assist our C-Suite with managing their respective schedules. The ideal candidate will step into a hybrid role where their professional, detail-oriented, people-first attitude will help balance the roles of both Office Coordinator and Executive Assistant. This role operates as the key administrative support to the CEO, COO, CTO along with coordination responsibilities of the Los Angeles office and staff.

Office Coordinator Responsibilities Include:

  • Responsible for reception services including meet and greet visitors, field incoming phone calls, and managing traffic in and out of the office (Present to greet visitors at the front door and direct them to the appropriate person, Answer and direct general phone calls to the Company line, Maintain appearance of reception area);
  • Communicate effectively, efficiently, and professionally with service requests of employees as needed;
  • Responsible for managing ingoing and outgoing mail/deliveries;
  • Assist with planning and management of Company events and offsites with the recommendations from the Social Team;
  • Order and maintain kitchen snacks and supplies;
  • Responsible for maintaining appearance in occupied spaces including workstations, kitchen, conference rooms etc. (including but not limited to bringing dirty dishes to the kitchen, loading/unloading them into dishwasher, re-stocking snacks/food/utensils for use);
  • Participation in furniture set-ups and internal office moves;
  • Assist with storage and distribution of all office supply deliveries;
  • Order and coordinate weekly lunches and other ad hoc lunches as needed;
  • Partner with other administrative support team on ad hoc projects;
  • Office Coordinator procedures are well documented and kept up to date for visibility;
  • Perform other duties or special projects as needed

Executive Assistant Responsibilities Include:

  • Manage the complex and ever-changing professional calendars of the C-Suite, including balancing multiple, sometimes conflicting priorities and deadlines;
  • Coordinate and manage key internal and external meetings (staff meetings, board meetings etc.);
  • Manage confidential and non-routine information and facilitate communication between appropriate people and teams;
  • Manage Executive expense reimbursements;
  • Communicate effectively, efficiently, and professionally with service requests of Executives as needed;
  • Executive Assistant procedures are well documented and kept up to date for visibility;
  • Perform other duties or special projects as needed

Desired Qualities and Skills:

  • 1 year minimum experience of Executive Assistant experience supporting a C-Suite or or SVP level executives
  • Knowledge of office administration responsibilities, systems and procedures
  • Proficiency in MS Office and G Suite
  • Highly energetic, positive and enthusiastic team player with strong interpersonal skills and collaborative orientation
  • Detail oriented with strong problem-solving and decision making skills
  • Self-starter with a high level of initiative and follow-through
  • Strong sense of ownership and urgency, organizational and time management skills, ability to multitask and prioritize work
  • Excellent communication (written and verbal), interpersonal and consultative skills
  • Strong work ethic and integrity
  • Ability to work well under tight deadlines and respond to rapidly changing demands and fulfill efficient follow ups
