How we LEAD:

We are currently seeking an accomplished Executive Administrative professional with solid experience supporting senior executives. This role requires exceptional attention to detail, great organizational skills, the ability to meet critical deadlines and to juggle multiple priorities in a fast-paced environment. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives inside and outside the company is essential. This role will represent the executive in a positive and professional manner and partner with the executive to help ensure the effectiveness of the function. The ideal candidate will take initiative, identify solutions, and be ten steps ahead of what needs to be done.

How you'll CREATE:

  • Day-to-day proactive management of schedule; coordination across multiple teams internationally.
  • Manage office and time in a fast-paced environment and anticipate critical events/ needs.
  • Uphold a strict level of confidentiality, establish and maintain relationships both internal and external.
  • Develop and demonstrate professional knowledge of the business.
  • Manage schedule and diary by planning internal and external meetings, conferences, teleconferences, arrange team events/conferences, etc.
  • Support with travel, booking and itineraries.
  • Screen and prioritize phone and inquiries.
  • Manage office supplies and technical equipment for the global team covering operating needs.
  • New team member onboarding and admin set up support (across multiple locations).
  • Prepare submission of expense claims in a timely manner.
  • Support VPs in the Global Insight team with travel, expenses and exec insight session scheduling.
  • Assist the team with invoice management working alongside Finance, ensuring suppliers raise invoices at reasonable times, that these invoices are processed and paid within the budget year.
  • Manage all Global Insight service/tools subscriptions; tracking timing of renewal, filing contracts and correspondence, maintain a list of lead contacts for each contract, assisting with invoice processing and budget planning pertaining to these services.
  • Assist with budget planning and tracking by ensuring expenses are correctly coded and processed by the team, understanding the flow of projects and team structure, and flow of expenses.
  • Manage team communications and distribution lists, assisting with uploading of document on intranets, ensuring proper distribution of content.
  • Manage ad hoc projects as needed.


Bring your VIBE:

  • Minimum 5 years of executive assistance experience, ideally working with global teams
  • Experience with Finance related tasks – invoicing, budget management
  • Strong organizational skills
  • Ability to anticipate needs and identify solutions, can-d0 approach
  • Proactive and able to multi-task
  • Proven ability to work effectively with senior management and senior-level clients
  • Excellent written and oral communication skills (as the person will be dealing with all levels)
  • Ability to manage highly confidential information and to act calmly and professionally
  • Advanced Microsoft Office skills – Excel, PowerPoint/Keynote; Mac user
  • Advanced experience of travel logistics - itineraries, international and domestic
  • Dynamic and assertive personality; professional demeanor
  • Adaptable to a variety of situations with numerous personalities
  • Ability to excel in a fast-paced, ever-changing environment
  • Ability to create efficiency through the use of technology and music-based systems
  • BA or BS preferred
