We are looking for a dynamic, energetic, highly organized, fun loving Executive Assistant to provide key administrative and organizational support to the CEO and members of the Executive Team.

This role is key in the coordination of the flow of critical information across the company, organizing travel and managing daily itineraries for the CEO and other company executives. The ideal candidate thrives in a fast-paced environment and has a track record of building strong internal and external relationships. The Executive Assistant operates with autonomy and is continually working with team members across all functions of the company. This EA must operate with full confidentiality in all aspects of assignment, responsibilities, and follow-up on deadlines and commitments made. Additionally, this Executive Assistant has a strong track record of dynamically prioritizing meetings and schedules based upon evolving priorities and the company strategy.

Responsibilities

  • Oversee CEO’s and other Executive team schedules, including internal and external meetings taking into account the dynamics and priorities of the business.

  • Manage travel for the CEO and some members of the Executive team.

  • Effectively manage communications and scheduling with board members and their assistants.

  • Lead ad-hoc internal and external projects with relative independence.

  • Schedule meetings and conference calls taking into account all constituents constraints.

  • Capture and follow-up on action items from key Executive meetings.

  • Develop and manage the Executive team operating calendar with meetings, events, performance reviews, and assist in the preparation of agendas, action items, presentations, and other relevant content.

  • Prioritize tasks and proactively mitigate issues as they arise in a challenging startup environment

  • Manage expense reports for CEO and other Executive staff as needed.

  • Build cross-functional relationships between departments

  • Strong follow-up skills to keep departmental deadlines on track. Proactive in supporting department leads to obtain closure on deadlines. Liaise and coordinate with staff and clients to ensure tasks are carried out and delivered in a timely manner.


Required Knowledge, Skills, and Abilities:

  • 5+ years of experience coordinating travel and calendar logistics on behalf of 1 or more executives

  • Strong written and verbal communication skills across multiple channels including email, instant messaging, telephone and face to face

  • Thrive in a fast-paced environment where prioritization is constantly required

  • Excellent organizational skills with an ability to think proactively and prioritize multiple projects.

  • Maintains confidentiality of the most sensitive information and plans.

  • Very strong problem-solving skills and the ability to operate with limited guidance.

  • Excellent English drafting ability and communication skills, both oral and written.

  • Professional and strong interpersonal skills and ability to establish and maintain effective working relations with people in a multicultural, multiethnic environment with sensitivity and respect for diversity.

  • Strong communication skills, and the ability to communicate, coordinate and work effectively with geographically distributed staff.

  • Detail-oriented and ability to multi-task and to work independently.

  • Effective management of time and resources, while being punctual. The ability to be a self-starter, creative, detail oriented, flexible and proactive member of the team.

  • Maturity, humility, strong work ethic, sense of humor, “roll-up-my-sleeves” attitude, help colleagues, and the ability to work flexible hours based on executive travel schedules and approaching deadlines.

  • Strong technical competency across Google enterprise products (Gmail, Calendar, Docs) and Microsoft Office.
