SUMMARY
WELL is looking for an Executive Assistant to support our executive leadership team with administrative tasks and special projects. In this role, you’ll manage a wide range of activities from executive calendaring and scheduling to coordinating travel and planning team events. You will interact across all departments and levels, as well as with external prospects, partners, vendors, and clients.

RESPONSIBILITIES
- Support the executive leadership team with a variety of administrative tasks, including managing email & complex calendars, organizing meeting agendas and notes, following up on project tasks and assignments to completion, coordinating travel, and completing expense reports
- Communicate clearly and professionally on behalf of leadership to direct reports, internal and external stakeholders, vendors, and partners
- Organize team all hands, off-sites, and social events; assist with larger all company events as needed
- Prioritize needs effectively and expedite urgent tasks using independent thinking and exceptional judgment
- Manage confidential information discreetly as it relates to personnel, partners, or special projects
- Proactively identify ways to improve and streamline processes to meet the needs of the leadership team and the business overall
- Collaborate cross-functionally with other WELL senior leaders and team
- Provide back-up support to other EAs as needed
REQUIREMENTS
- Bachelor's degree or equivalent work experience
- 3+ years administrative experience supporting senior leaders or executives
- Proficient at G-suite (Docs, Sheets, Slides), MS Office, and Zoom; experience using Slack, DocuSign, Dropbox, and Asana helpful
- Exceptional written and verbal communication skills and ability to maintain a high degree of professionalism
- Ability to manage complex calendars and coordinate meetings across multiple departments, stakeholders, and time zones
- Independent thinker and creative problem solver with superior attention to detail
- Approachable, responsive, and always thinking ahead
- Curious and eager to learn; low ego attitude -- “Nothing is too big or too small”
- Passionate about building and scaling an amazing team culture
LOCATION
WELL is headquartered in Santa Barbara, CA. We are looking for candidates based in or around Santa Barbara that can come onsite as needed.
