Conference & Events Specialist

SUMMARY OF RESPONSIBILITIES
Responsible for the planning and coordination of workshops, conferences, industry trade shows, and other corporate events. Ensures events accomplish corporate objectives and stay within budget.

KEY FUNCTIONS
• Plans, coordinates and executes corporate events including workshops, conferences, and trade shows as well as employee functions.
• Works with vendors to arrange equipment rentals and labor services.
• Manages venue logistics with onsite facilities staff as well as offsite venues including room set up, audio visual, catering, security and event staff.
• Works with graphics department on display and other printed materials.
• Creates reports to monitor timelines, deliverables, and attendance.
• More senior levels may be responsible for more technically focused workshops and symposiums.
QUALIFICATIONS
REQUIRED:
• Typically 5 years of relevant experience
• High School Diploma or equivalent
• Ability to track and manage multiple project deliverables and timelines
• Knowledge of emerging trends in event organization
• Vendor negotiation and management skills
• Customer service orientation
• Must work well in a team environment
• Must be detail oriented
• Ability to prioritize tasks and projects
• Must possess strong organizational skills
• Ability to handle multiple priorities and projects at one time
• Effective interpersonal skills to coordinate efforts and work with other internal and external organizations
• Demonstrated flexibility and ability to adapt to changing organizational needs
• Strong written and oral communication skills
• Proficient in the Microsoft suite tool
• Proficient in or the ability to learn virtual event support technology/tools
• This position will require security clearance issued by the U.S. Government and U.S. Citizenship is required
PREFERRED
• Bachelor's degree
PHYSICAL REQUIREMENTS/WORK ENVIRONMENTS
• Ability to sit or stand for extended periods of time.
• Ability to use a computer to complete activities.
• Ability to communicate with individuals and groups in person, by phone and telepresence.
• While performing the duties of this job, the employee may visit locations with varying temperatures and floor surfaces, and may be exposed to seasonal elements.
• Frequently needs to pack, lift, and move event materials and other items.
• Some travel required.
