OPSkins/WAX is looking for an Office Manager who will provide a full range of office support and administrative assistance to the CEO and our leaders across the organization.

Our Office Manager will be the main source of contact for anything office related. This may include everything from ordering lunches for cross functional teams, to restocking food or other items the office needs. In addition, you will ensure that everything needed to keep the team happy is in place and is operationally working as smoothly as possible and generally going great. This is a perfect role for someone who wants to be a part of creating a smooth experience at an exciting and fast-paced startup culture.

The ideal candidate will be very hands-on and willing to overcome various levels of tasks, with no task too big, or too small. In addition, you will work closely with the CEO on all administrative fronts including, calendar management, travel arrangements, and miscellaneous projects.

Responsibilities:

  • Take ownership of all office management duties

  • Manage CEO’s calendar, travel arrangement

  • Handle confidential information and communications tactfully, attentive to details, and ask already well-informed clarifying questions if needed

  • Take initiative and thrive in a fast-paced startup environment. Happy to work evenings or weekends if needed. Trusted to work independently with little or no supervision

  • Serves as liaison between the executive and external/internal clients

  • Prioritizes conflicting needs; handles projects expeditiously, proactively, and follows-through on projects to successful completion

  • Proactively manages Google calendars

  • Responds to calls and texts in a timely manner

  • Anticipate needs and be proactive with solutions

  • Creates PowerPoint presentations and decks

Requirements:

  • Bachelor’s Degree is required

  • 3+ years of administrative support experience

  • Experience working in a high growth startup environment

  • Demonstrated proficiency in Google Suite, Microsoft Office Suite on Mac

  • Must be within 30 minute commute of Santa Monica

  • Exceptional verbal and written communication skills (professional demeanor)

  • A quick-thinker and an adept problem-solver with impeccable attention to detail

  • Must possess strong prioritization and organizational skills to manage multiple tasks within deadlines

  • Able to work in highly fast paced environment

  • Ability to handle varying work styles with grace and tact

  • The drive to take initiative, work independently and be accountable

  • Be a team player who is collaborative, positive and flexible

  • Strong organizational and time management skills

  • High emotional intelligence and strong communication skills

  • Must have great intuition and be well organized and able to identify needs without being told

  • Able to take feedback (or criticism) and turn it into a happier workplace

  • Experience in startup culture – comfort with ambiguity and non-stop problem solving

  • Impeccable judgment and ability to handle confidential information

  • Excellent communication skills, both written and verbal
