About the Role
As a Part-Time Office Clerk, you will be responsible for the manual and electronic preparation of incoming mail and interoffice documents, ensuring that all documents are categorized, logged, scanned, and distributed to the appropriate teams. Additionally, you will assist with outgoing mail and packages, and provide support to the Executive Assistant and other departments as needed. Hours would be 2-4 hours per week with a flat rate of $200.00 - $250.00 per week paid bi-weekly.
Your Area of Focus
- Collect mail from the CDM office mailbox at least twice a week.
- Identify, sort, and prepare incoming documents by category according to established guidelines.
- Sort, prepare, and distribute incoming and outgoing mail, including interoffice and supply orders.
- Electronically assign documents into categories.
- Prepare and/or scan documents using a high-speed scanner.
- Distribute scanned mail electronically to the appropriate recipients.
- Serve as a backup to other departmental functions as needed.
- Work with IT to ensure secure handling and distribution of confidential information.
- Coordinate with each mail recipient to determine the document retention policy and timeline for the original documents.
- Assist the Executive Assistant with light office duties, such as restocking supplies and reporting on reorder status.
- Provide additional support to the Executive Admin during the Quarterly Business Review (QBR) based on availability.
Your Professional Qualifications
- Currently enrolled in a college or university program.
- Strong organizational skills with attention to detail.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency with office equipment and software, particularly scanning and email systems.
- Strong communication and interpersonal skills.
- Ability to work independently and manage time effectively.
