What’s The Role About:

Puffco is currently seeking an articulate, enthusiastic, self-motivated, driven, and ambitious Event Coordinator who is committed to prospecting events and developing new relationships & maintaining current relationships, with the overall goal of setting our brand apart from others.

You will utilize your extraordinary communication skills and passion for problem-solving to connect with potential trade shows and more through phone or email while establishing trust and strong rapport. Our Event Coordinator will serve as our primary liaison for new relationships and play an instrumental support role to our events and creative production team. 

 

Some things you will be responsible for:

 

  • Order supplies and equipment, and ensure appropriate show décor (florals, linens, color schemes, etc.)
  • Sourcing needed event staff and creating work schedules for each event
  • Track invoices to aide in the reconciliation of event-related budgets. Provide daily cash income
  • Coordinate ordering, inventory, and distribution of gifts, swag, and branded inventory
  • Propose new ideas to improve the event planning and implementation process
  • Serve as liaison with vendors on event-related matters
  • Assist with coordination of up to 40 events per year
  • Scheduling staff lunch breaks, ordering food and supplying water for each member
  • Arranging event wardrobe with staff
  • Research all relevant festivals, tradeshows and special events for consideration and create documentation for all events considered that include event attendance, vendor booth pricing, important deadlines, weather precautions, team members needed, and other pertinent information 

Some qualifications and skills we need you to have:

 

  • At least 1-year experience coordinating special events
  • Must be able to lift heavy object and manage build up and takedown of trade show booths
  • Excellent communication skills, including writing, proof reading skills, and speaking.
  • Ability to manage multiple projects and work assignments from a variety of staff
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision
  • Fantastic customer service ethic and high expectations for quality
  • Bachelor’s degree preferred; significant work experience can substitute for the degree.
  • Proficient using the latest versions of Microsoft Word, Excel, Outlook, and mail merges; email and web searches
  • A polished individual who likes a challenge and can contribute their talents to our team environment
  • Working knowledge of Microsoft Excel, Word, Office Suite, and Outlook
