What We Need:
Obagi is seeking a highly organized and proactive Logistics & Fulfillment Coordinator to oversee our end-to-end shipping and fulfillment operations. This role will be responsible for managing all inbound and outbound logistics activities, coordinating with third-party logistics (3PL) providers, freight carriers, and internal sales channels to ensure seamless, timely, and cost-effective delivery of goods.
What You’ll Do:
Inbound Logistics:
  • Manage all inbound shipments from contract manufacturers (CMOs), ensuring timely receipt and resolution of quantity discrepancies and receiving issues.
  • Coordinate with internal stakeholders to track incoming goods and update shipment status regularly.
  • Resolve receiving delays or compliance issues related to regulatory, customs and import regulations.
Outbound Fulfillment:
  • Oversee all outbound customer orders, ensuring accurate and timely packing, shipping, and delivery for the omni channel global fulfillment network.
  • Monitor on-time and in-full (OTIF) performance metrics and lead resolution efforts for order fulfillment issues.
  • Serve as the main POC for sales and customer service regarding order status and exceptions.
  • Ensure fulfillment processes align with retailer/vendor compliance manuals.
  • Customize fulfillment workflows and SLAs for each channel (e.g., Amazon FBA, DTC webstore, Physicians, retail chains, etc.).
  • Maintain relationships with 3PL providers ensuring service level agreements (SLAs) and cost efficiency.
Carrier and Transportation Coordination:
  • Liaise with freight forwarders, carriers, customs brokers, and other third-party providers to coordinate transportation logistics.
  • Resolve shipping delays, damage, or lost shipments, and handle claim processes with carriers.
  • Maintain relationships with transportation providers, ensuring service level agreements (SLAs) and cost efficiency.
3PL and Forecasting Management:
  • Provide monthly forecasts to 3PL partners, including order volumes, lines, and units by location and customer type.
  • Share key planning data to ensure 3PLs are adequately staffed and resourced for upcoming volumes.
  • Review 3PL performance regularly and drive continuous improvement initiatives.
EDI (Electronic Data Interchange) Management:
  • Monitor and manage EDI transactions related to purchase orders, advance ship notices (ASNs), invoices, and order acknowledgments.
  • Collaborate with IT and third-party providers to ensure successful EDI integration and troubleshooting.
  • Resolve any transmission errors or mapping issues between internal systems, trading partners, and 3PLs.
  • Ensure data accuracy and timeliness of all EDI documents, particularly those affecting order fulfillment and shipment tracking.
  • Maintain relationships with key EDI-enabled customers and vendors, supporting onboarding and system updates as needed.
Customer Complaint Resolution:
  • Track and resolve customer complaints related to overages, shortages, damages, and lost shipments.
  • Conduct root cause analysis and implement corrective actions in coordination with fulfillment and logistics partners.
KPI Reporting & Analysis:
  • Track and report on operational KPIs, including on-time fulfillment, order accuracy, fill rate, order-to-delivery cycle time, transit time, shipping costs by region and globally, damages, forecast accuracy, etc.
  • Identify trends and opportunities for process optimization through regular data analysis.
What You’ll Need:
  • A bachelor’s degree from an accredited university required; a focus in Business Administration, Supply Chain Management, or similar related fields strongly preferred.
  • At least 4-6+ years of hands-on experience in logistics, order fulfillment, or supply chain operations, preferably within a CPG, eCommerce, or wholesale environment.
  • Prior experience working directly with 3PLs and global transportation providers.
  • Exceptional organizational and prioritization/time management skills; demonstrated ability to work under pressure to meet deadlines and manage responsibilities across multiple customers simultaneously.
  • Comfortable operating in a fast paced, ever-changing environment; someone who thrives in ambiguity and adapts quickly.
  • Proficiency in Microsoft Office, with a heavy emphasis on mastery of Excel, showcasing the ability to manipulate data effectively and derive valuable insights; other technologies such as ERP systems, prior experience with Oracle a huge plus.
  • An energetic, positive attitude that encourages a team and builds/maintains robust relationships.
