People Operations Generalist

This role is responsible for managing ongoing processes in People Operations, as well as leading special projects in People function. This role implies strong interconnections with department managers (primarily High Touch Sales and Marketing), with other People sub-teams (Recruiting and Employee Experience) and cross-functional activities with PMO, Finance and Legal teams. Responsibilities comprise two blocks: managing ongoing processes and participation in special projects.

What You’ll Do:

  • Ongoing processes maintenance includes but not limited to:
    • New hires onboarding
    • Support new hires in all the basic setup (workplace, office & company orientation, information access etc)
    • Take care of cultural onboarding
    • Ensure all paperwork is received from new employees, including checking for its completeness. Verify employee documentation and complete I-9 forms to maintain work authorization compliance
    • Employee relations management
    • Be the main go-to person for the US employees to address any people-related topics. Perform employee service functions by answering questions and proactively engaging with the employees
    • Promote and maintain harmonious and effective relationships and communications within the office and with other offices
    • Manage relocation cases (culture, compliance, legal & migration). Manage employee immigration records as well as initiate VISA's through immigration lawyers
    • Help in managing the employee evaluations process, learning and development initiatives
      Benefits administration: Plan, organize and control the benefits enrollment for the US offices by working with brokers and consultants
    • Communicate to employees for accurate, timely updates and maintenance of employee benefits and retirement plan, i.e. new hires, terminations, open enrollment and miscellaneous changes
    • Work with the various insurance carriers, administrators, service providers and consultants to optimize benefit program results when needed
    • Helping out with labor law compliance related issues: Maintain of employee files and company posters to ensure legal compliance.
    • Ensure compliance with government requirements, i.e. ERISA, DOL, IRS, including the Patient Protection and Affordable Care Act of 2010.
    • Ensure company’s compliance with all relevant federal and state laws within the US.
    • Take guidance from HR lawyers and consultants when relevant and/or running a high risk of non-compliance
    • Be a link between recruiting and business, helping to manage candidates pipeline and ensure we provide the best candidate experience
    • Administer the US performance management process, support business leaders with required tools and consultations
  • Special projects include but not limited to:
    • Create and improve procedures for People process optimization
    • Manage transition from Trinet to inhouse payroll & benefits management
    • Design and update of the employee handbook
    • Create and revise company policies where appropriate
    • Rollout Performance management procedures for the US office
    • HRIS and other in-house tools implementation
    • Update and maintain People information on the company’s intranet
    • Rollout company-level people analytics initiatives for the US Hub
    • Create reporting as needed
    • Participate in cross-functional and other People team projects as a main contributor and execution responsible for the US hub

What you'll need:

  • 3+ years of experience as a Human Resources Generalist/Manager
  • Knowledge of general HR compliance standards
  • Demonstrated ability to successfully manage multiple tasks
  • Strong work ethic and attention to detail
  • Expert ability to handle details of a highly confidential and critical nature
  • Strong interpersonal and written/oral communication skills
  • Solution oriented self-starter with a strong service orientation
  • Bachelor Degree at top tier university
  • Certificates in HR is a +
