About the Manager, Payroll at Headspace:

This is a great opportunity to join a growing People Operations team as Manager, Payroll. We are looking for a seasoned payroll expert to support the needs of our expanding employee population in the US and internationally. This person should be someone who enjoys taking on new challenges and wants a role that will continually evolve and expand as the company grows.

The ideal candidate for this position will have excellent organization, prioritization & communication skills, along with a strong attention to detail, the ability to meet deadlines consistently, work under pressure, and maintain high integrity.

The successful candidate will have in depth knowledge of payroll processes & best practices to ensure that they are executed accurately and in a timely manner. This includes processing, auditing, and reconciling multi-entity payroll, including reconciliation of wages and overtime, calculating, processing requests for off-cycle payments and final pay. Additional responsibilities include administering and managing leaves, our stock program and supporting the HR team with reporting, compliance, and other duties as needed.

This position reports to the Head of HR.

How your skills and passion will come to life at Headspace:

  • Act as the subject matter expert for all things 'Payroll'
  • Process payroll for all US and international offices, verifying payroll input, including time reported by non-exempt employees, ensuring timeliness and accuracy for 250+ employees
  • Calculate all additional payroll withholdings or payments owed to employees (ie, retro pay, allowances, reimbursements, etc)
  • Manage PTO balances and accruals; assist employees with related inquiries
  • Assist with COBRA, LOAs, FMLA usage and other issues as required by company regulations and legal requirements
  • Ensure compliance with local, state and federal legal requirements related to payroll by staying up-to-date on changes to relevant laws and regulations and advising management as needed
  • Assist with the development and maintenance of payroll policies and procedures
  • Recommend, drive, and facilitate process improvements to maintain operational efficiency, ensuring best-practice payroll processing, by exploring, reviewing, testing and implementing system enhancements and new releases
  • Prepare and review regular reports, including bi-weekly, monthly, quarterly and year-end reports.
  • Review quarterly federal and state tax filings for accuracyProcess stock option exercise payments in Carta and track Non-Qualified exercises for tax purposes
  • Manage state filings and set up for territories the business expands into in the US and Internationally
  • Run ad hoc projects as needed

What you’ve accomplished:

  • 5+ years of payroll processing experience required
  • Additional benefits experience preferred
  • Expert in managing payroll processes, from beginning to end
  • Experience processing International payroll desired
  • Additional HR operations experience desired
  • Experience working in a collaborative and fast paced environment essential
  • Strong organizational skills and attention to detail required
  • Ability to think strategically to improve existing process and ensure continued efficiency
  • Interest in managing additional HR projects
  • Highly proficient in MS Office, specifically Excel
  • Experience with cloud-based HCM systems desired
