People Operations Specialist

The People Operations Specialist is responsible for many important aspects of GumGum’s People (Human Resource) operations function across benefits, perks, compliance, immigration, metrics & reporting, and HRIS administration/reporting. This role contributes to the continued implementation of the HR infrastructure project to scale our people strategy and solutions. Additionally, the People Operations Specialist will deliver necessary HR policies and programs which support a global team. This role reports to the Director, People Operations.

Responsibilities
- Benefits/Perks Management & Administration
- Contribute to the domestic and international benefits/perks plan and strategy for GumGum
- Serve as the main point of contact for all team members on benefits & perks questions. Ensure timely response and resolution to questions and issues.
- Track and process new hire benefits & perks eligibility and status changes
- Process life event changes and termination of coverage
- Manage the COBRA process
- Manage monthly benefit invoicing and auditing to ensure reconciliation with payroll billing. Follows up on billing issues and employee deduction discrepancies
- Serve as the project manager for the annual open enrollment process from beginning-to-end, including timelines, communication meetings, and partnering with third party administrators to support any plan changes
- Keep a pulse on benefits trends & offerings. Research offerings and subsequently create and present benefits comparisons
- Ensure compliance with applicable employment laws and regulations that could impact the benefits/perks strategy
- Lead and manage domestic and international leave of absences requests, processes, strategy and ensure compliance
- Manage all worker compensation policies and claims
- Immigration
- Counsel and guide managers and employees on GumGum’s immigration processes, setting clear expectations on process, timeline and best practices
- Acting as a liaison between employees and outside counsel, in order to provide continuous support and coordination resulting in keeping the immigration process successfully moving
- Analyze complex immigration matters and effectively communicate solutions to internal clients in collaboration with outside immigration counsel
- Manage external counsel in completion / submission of Visas
- Serve as point of contact for employee’s visa questions
- Proactively communicate with employees on status of visas, deadlines, and important steps and details
- Actively identify process improvements focusing on employee experience
- Manage invoice processing/tracking of payment status of immigration related matters
- Keep pulse on changes to immigration and visa laws and regulations; communicate change accordingly
- Compliance
- Contribute HR policy development and documentation inline with GumGum’s mission/vision while managing compliance risk
- Remain up to date on local & international employment legislation/ compliance and recommended best practices
- Complete regulatory reports (e.g., EEO reporting) ensuring accuracy
- Process Management
- Design, implement and optimize processes that provide the foundation to an effective and responsive service to our team members
- Document processes, policies, and procedures to establish a repository of institutional knowledge to be leveraged across PeopleOps and the organization
- HRIS (ADP), Reporting & Data Management
- Become ‘super user’ of the HRIS (ADP) to effectively prepare, modify and run reports, extract data and maintain operational efficiency
- Perform HRIS administration tasks, including user setup/access, workflows, task builds and updates, data maintenance and configuration updates
- Provide end user and practitioner support and resources, including basic troubleshooting, system function/release communication, and development and maintenance of user documentation. This also includes building and automating user-friendly, self service reports and dashboards; educating end users on how to use and interpret metrics.
- Audit data integrity, investigate concerns, and establish processes to streamline and improve data quality; complete audits and compliance reporting and testing as required
- Setup and maintain foundational hierarchy and structures for organizations and jobs
- Create systems administration documentation and user guides on an ongoing basis
- Continue to monitor the Total Rewards tool available to team members
- Contribute to the annual performance review and compensation project, especially in the areas of processing compensation and job changes
- Collaborate with HR Business Partners to occasionally assist with job evaluations and compensation survey participation when necessary
- Metrics & Reporting
- Occasionally analyze data and offer insight into company and team-specific programs and policies and recommend data-driven solutions to achieve team goals and objectives
- Regularly summarize and report on key metrics to the People Leadership Team
- Identify and recommend reasonable short- and long-term goals, milestones, and benchmarks for key performance metrics
- Leverage metrics & analytics tools to make reporting easier to interpret and access
- Ensure privacy when reporting on HR metrics
- Other responsibilities as assigned
Minimum Qualifications
- Bachelor's degree or equivalent experience
- At least 4 years of experience in Human Resources analytics, 2 or 3 years experience with benefits and systems
- Experience building people-related reports & summaries utilizing people analytics and metrics
- Experience researching and administering a global benefits & perks program
- Analytically driven with strong execution skills to drive solutions to completion; excellent attention to detail
- An innovative problem solver who is proactive and loves to get things done
- Strong interpersonal skills, good intuition, and the ability to communicate to all levels of the organization
- Ability to prioritize workload, balance multiple tasks at once, and solid attention to detail
- Ability to plan and anticipate issues and delays before critical deadlines are due
- Understanding of the intersection of compensation, benefits, perks and other offerings (e.g., LOA, paid time off) as part of a Total Rewards package
- Foundational understanding of HR metrics, analytics & reporting
- Proficiency in Google applications specifically with Sheets, Slides, and Docs
