The Facilities Specialist is responsible for managing the GHX Louisville office headquarters, office safety protocols, departmental moves, vendor relationships, vendor contracts, office space planning, minor and major construction projects for the GHX Louisville location. The facilities specialist will coordinate facilities needs in providing office services to the organization. This position requires an experienced project manager to lead and execute day-to-day office operations duties, manage office space requirements, and coordinate office space-planning efforts. Responsible for maintaining a smooth, clean and operational facility.
Core Job Responsibilities:
- Manages day-to-day facilities activities including coordination of general maintenance, HVAC repairs, and janitorial services.
- Oversees activities of facilities including space needs, furniture, delivery and stocking of office and kitchen supplies including coffee and beverages, copy machines, and mail distribution.
- Provides new hires with the appropriate space, and supplies on their first day of work.
- Administers the physical security function by ensuring badging processes and office entry guidelines are followed, and works with the compliance department to maintain required physical security procedures.
- Establishes relationships with vendors who meet our quality, timeliness, and service requirements. Works with vendors to find cost savings where applicable.
- Reviews and administers requisitions and purchase orders to conform to procurement procedures.
- Process invoices for office-related services.
- Oversees the management of off-site storage needs.
- Participates in the space planning & relocation efforts for current and future facilities.
- Supports front desk receptionist duties Monday through Friday.
- Ensures cleanliness of office space, all conference rooms, all kitchen areas, carpet, floors and ceiling tiles are clean and in good working order
- Ensures the Availability of materials (flip charts, working markers, etc.) Standard beverages stocked with standard beverages such as water, bubbly water and soda
- Ensure the availability of badges and lanyards for employees and visitors
- Distribute mail and packages as requested
- Interacts effectively with all levels of GHX and resolves issues in a timely manner.
- Performs other duties as assigned.
- Ensures all whiteboards are clean, whiteboard towels are clean at the end of every work week.
Required Qualifications:
- Candidate must have a minimum of 2 years of prior facilities experience.
- Strong project management skills and experience required.
- Experience in managing vendors.
- Strong verbal and written communications skills are essential.
- Proficient computer skills (Microsoft Excel, Outlook, Word, and Oracle (or similar contract management and accounting software)).
- Ability to work without direct supervision.
Estimated hourly compensation $27.40 - $34.23
The base hourly range represents the anticipated low and high end of the GHX’s salary range for this position. Actual salaries will vary and will be based on various factors, such as candidate’s qualifications, skills, competencies and proficiency for the role. The base salary is one component of GHX’s total compensation package for employees.
