Reporting to the Head of Metadata Operations, the Metadata Specialist's responsibility is to ensure that accurate and complete data is collected and entered by label personnel into UMG's Repertoire Management System (R2). This role will oversee and facilitate the label staff's data entry work. The data collected in this system is used to facilitate the production process, copyright clearance, royalty payments, and digital distribution at Universal. The Specialist will have the responsibility for overseeing this work at one or more labels based on need as determined by the Heads of Metadata Operations.

Job Functions:

There will be a variety of deadlines that need to be met to support the labels and other UMG departments. The Specialist will play an integral part in making these deadlines. The Specialist is responsible for reviewing and certifying metadata prior to being sent to UML for processing/manufacturing, and to digital partners for distribution. In order to collect and/or verify information required in the database, the Specialist would need to work with various departments within the label and across Universal Music Group. At the label, the departments may include A&R, A&R Administration, Business Affairs, Production and Video. Within UMGNA and UMGI, it will involve contact with UK Metadata Operations, UMS, UML, Royalties, Copyright and various departments involved with e-initiatives. The Specialist will gain a thorough knowledge of R2 and the business processes used within the system, keep the label informed about any updates or changes to R2 procedures or the system/database, and train all personnel at the label who use R2. As Universal companies outside the US release US owned repertoire, the Specialist will oversee the work from each territory to ensure that all data and business process requirements are met. This will involve researching older catalog material in addition to new release data and instructing the territories accordingly. The Specialist may need to review and clean records before they are used by another territory. The Specialist attends production meetings at their client labels to stay apprised on the progress of the release schedule, and also takes part in weekly and monthly department meetings.

Periodic analysis of the current data entry process will be conducted at each label to identify areas that need improvement. The Specialist and management will develop a strategy to address the problems and implement process changes where necessary. The Specialist must be able to manage multiple priorities and potentially sensitive clients and communicate effectively while working with a wide variety of people within the organization.

It is important that the Metadata Specialist realize that this is an evolving position and must be willing to do what is required in order to assist the label and the department as R2 and its associated business processes grow and change.

Job Requirements:

Skills/Abilities:

  • Data entry and proofreading skills
  • A client service attitude
  • Detail oriented
  • Communicates well with others and has diplomatic approach
  • Ability to manage multiple projects

Experience:

  • 2-4 years experience with label copy
  • 2-4 years music industry experience – preferably production, copyright, royalties, business affairs, new media or related area

Education:

  • Bachelors Degree preferred
