The Role


Job Summary & Responsibilities:

The Production Coordinator (full-time, salaried, regular) is a key supporting role for the MotorTrend Studios production team, working with Producers and Senior Producers to satisfy all production needs pre-production planning to on-set production through post-production. This position requires focus, unwavering attention to detail, ability to exercise sound judgment, proactivity, self-motivation, quick to pivot as necessary, thoroughness, and ability to manage a wide variety of multiple responsibilities in a fast-paced environment. 

Essential duties and responsibilities include, but not limited to:


  • Adhere to MotorTrend Production Guidelines and Procedures to ensure proper documentation and tracking on all production documents through the production lifecycle.
  • Assist with all logistical booking and securing travel, locations, and crew for Producers, including startup paperwork for the crew, location coordination, etc.
  • Prepares and distributes call sheets for each assigned production
  • Set up initial crew paperwork, onboarding talent, and assigning crew to project/production. Fulfills petty cash requests for freelance producers and distributes to production.  
  • Assist Producers in managing backend workflow and file management for wrap. 
  • Manage all communications with off-site vendors based on production needs
  • Facilitate and manage communication relating to the delivery of footage from live shoot to post-production producer.
  • Manage and maintain production binders and file systems for assigned series.
  • Manage and maintain logs in a working budget based on the Producer’s guidance/direction
  • Prepare production vehicles with supplies and equipment for production office while on set.
  • Work closely with outside vendors as needed for production.
  • Assist with creating, modifying, and keeping up-to-date production materials.
  • Manage all expenses (petty cash and credit card) before, during, and after (wrap process) a shoot
    • Collect, organize, and reconcile to complete the wrap of each project


Supervisory Responsibility:

  • This position may include supervising one or more employees where applicable. Supervisory responsibilities include but are not limited to:
  • Responsible for hiring and managing Production Assistants
  • Manages production staff on set when producer is unavailable to be present
  • Provide consistent support to the producers, and mentorship to team
  • Review and enter into the budgets individual crew timecards (as needed) and time-off requests to ensure optimal staffing
  • Effective, fair, and consistent management of one or multiple projects at any one time
  • Knowledge of and ability to, execute full compliance with company policies and procedures


Education/Experience:

  • Bachelors degree in Film and Video Production, or relatable degree
  • Preferred 2+ years of previous production experience relevant to production assigned

  • Strong written and verbal communication skills
  • Ability to maintain a positive and professional attitude at all times
  • Strong knowledge and skill relating to production process


Physical Requirements:

  • The ability to sit for prolonged period of time and view computer screen
  • Requires travel and ability to fly long distances (25%)
  • Requires standing on set on location frequently


Equipment/Software Used:

  • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)


Work Environment:

  • Work is performed in an office environment that is well lit and ventilated
  • Work is also performed on a variety of sets and locations
