We are currently looking for an Accounting Coordinator to join our team in Santa Ana, CA. This position is responsible for processing customer invoices and other accounts receivable transactions, accounts payable support, as well as providing overall support to the accounting team as needed.

Schedule: Mon-Fri, Full-time. This is an onsite position.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assist Accounts Receivable, as needed:

  • Review ancillary reports and information in preparation of billing customers.
  • Generate customer invoices by following the billing process & ensure that all billing information is accurate.
  • Record incoming payments from customers.
  • Help processing credit memos for adjustments or customer refunds as needed.
  • Mail, email or upload Invoices on customer’s preferred web portal.
  • Scan check deposits to the appropriate bank accounts.
  • Assist Accounts Receivable Supervisor with collection calls and/or emails.

Assist Accounts Payable, as needed:

  • Enter invoice details and pertinent information into accounting system.
  • Assist with recording and reconciling credit card transactions.
  • Setup and maintain vendor accounts in the accounting system.
  • Communicate with vendors to resolve invoice discrepancies, or payment inquiries.

General Accounting Support, as needed:

  • Support the accounting team during month-end and year-end close processes.
  • Liaise with other departments to obtain necessary information necessary to complete accounting tasks.
  • Maintain and organize accounting files, records & documentation.
  • Provide administrative assistance to the accounting department as needed.
  • Assist in preparing correspondence, reports and other documents.
  • Support reception desk as needed.

Requirements

EDUCATION, EXPERIENCE & SKILLS

  • High school diploma or equivalent.
  • 2-3 years of related experience and training; or equivalent combination of education and experience.
  • Basic understanding of accounting principles and practices.
  • Effectively communicate, both written and verbally, to all levels of management and coworkers.
  • PC literate with a working knowledge of MS Word and Excel
  • Knowledge of Accounting Software such as NetSuite, a plus.
  • Strong organizational skills and able to effectively prioritize workload to meet tight deadlines.
  • Demonstrate analytical and problem-solving skills.
  • Team player with the ability to coordinate and work with other departments in the organization.
  • Able to work efficiently with minimal supervision.

PHYSICAL REQUIREMENTS

Regularly required to use hands and/or fingers to grasp, handle or feel; reach with hands and arms; and talk or hear. Frequently required to sit for long periods of time, and occasionally required to stand, walk, or climb; and stoop, kneel, or crouch. Occasionally lift and/or move up to 25 pounds. Specific vision skills required by this job include close vision, peripheral vision, depth perception, and focus adjustment.

Hiring Pay Range (hourly paid): $24.00 - $28.00
