POSITION SUMMARY: 
Working as part of a flexible team, provide high-level executive and general office support in a demanding, fast-paced professional services environment.  The primary goals are to leverage the executives’ time, support the broader team, plan and execute client meetings and successfully serve BCG’s clients.
Provide high-quality administrative support for assigned principals, directors and/or partners, possibly including (50%):
  • telephone support
  • calendaring/meeting scheduling
  • correspondence development, drafting memos and slides as required
  • travel arrangements
  • time sheets and expense reports
  • file maintenance
  • mail distribution
  • logistics of ventures and related client meetings
  • backup support when other team members are out of the office
Provide high-quality support for office events and client meetings, duties to include (50%):
  • partnering with the Business Services Manager and/or Office Services Assistant to prepare the office for an event or client meeting
  • partnering with the Business Services Manager and/or designated EA/AA to coordinate operations and content logistics for office event or client meeting
  • create day sheets and production timelines for client meetings and events
  • communicate as needed with the internal and external clients coming to the center for an event or meeting
  • manage day of logistics for assigned client meetings and events
  • greeting the guests or clients and providing concierge type service
  • managing registration when necessary
  • maintaining a record of client preferences to be used for successful future events or meetings
  • assisting in keeping the office in good working condition; clean and safe
As an Executive Assistant / Client Logistics Assistant, we are looking for someone with:
  • Bachelor’s Degree strongly preferred
  • 2-3 years’ related experience
  • Must be proficient in Windows 7 and Microsoft Office 2007
  • Overtime may be required
  • As an Executive Assistant / Client Logistics Assistant, you will need:
    • Meticulous attention to detail and follow-through; perform tasks with high degree of accuracy and efficiency
    • Excellent organizational and time management skills; ability to meet deadlines
    • Excellent oral and written communication skills
    • Ability to work independently, to take initiative and to overcome obstacles
    • Ability to successfully manage competing priorities, keeping constant sight of the overall objectives
    • Ability to work effectively with all levels of the organization
    • High degree of maturity and professionalism at all times
    • High degree of flexibility in a demanding, fast-paced and frequently changing environment
    • Strong service orientation in responding to customer needs
    • Ability to exercise judgment in managing confidential or sensitive information
    • Demonstrates respect for all individuals at all times
    • Must be able to perform successfully in a fast-paced, intellectually intense, service-oriented environment and to interpret rules and guidelines flexibly to enhance the business and in keeping with BCG’s values and culture
    • Experience working successfully within a complex matrix structured organization is essential
