 We are hiring an Executive Assistant with a friendly, go-getter mentality, team player and the ability to pay attention to detail, while being very flexible, in a fast paced entrepreneurial environment. The position will work closely with all members of the investment team and is actively involved in the day-to-day efforts of the firm, including: 

·         Heavy scheduling and calendar maintenance for several team members-including calendar management, reminders, information for attendees, etc.

·         Coordinate agendas, initiate meeting requests, book conference rooms, and arrange IT resources and other requirements in support of smooth and efficient meeting facilitation

·         Organizing, coordinating and completing all phases of travel arrangements; including booking of flights, accommodations, transportation, reservations, expenses, creation of itineraries, providing directions and coordinating meetings

·         Assist in external, public-facing events managing logistics, guest list, invites (using tools such as Cvent, Eventbrite, Splashthat), catering, venue, etc. and internal events with setup / cleanup of meeting rooms, and ordering of catering services. (Typically around 8-10 events per year.) 

·         Document creation, organization and management: retrieving departmental documents and files in the VC Drive/Sharepoint; create and update presentations, conduct research

·         Track and log deal data and contacts in Outlook, using databases or data sources such as SalesforceIQ.

·         Frequently checking for updates and edits on websites for company information

·         Act as liaison between VC Team and Operations Team

·         Plan and execute VC teambuilding events (i.e. dinners, hikes, etc.)

·         Help manage and resolve Concur related issues for staff  

·         Maintain kitchen including stocking, load/unload dishwasher, cleanliness, etc.

·         Assisting with projects and other duties as needed, go above and beyond the status quo

·         Help out with other inter-office administrative responsibilities as necessary

·         Perform additional related duties as assigned

The ideal candidate has the following qualifications:

  • Exceptional communication skills, both written (over email) and verbal
  • Previous experience in a professional office or start up environment
  • Flexibility, given the demanding meeting loads and often changing schedules of the staff
  • Attention to detail and organizational skills
  • Team player but able to work independently
  • Ability to multi-task and prioritize
  • Ability to work with varying and dynamic personalities
  • Experience with planning travel and expenses
  • Must be proficient in Microsoft Word, Excel, Powerpoint, Google Drive, Outlook and Adobe
